How does the Capsa document management system help architects?

We explore how Capsa helps architects and consultants save time, gain greater control over their projects, and trust that the correct information is being used.

Architects produce over 50% of all design documents on a building project. That’s according to the data taken from our Capsa Project Plans. So, how can Capsa help architects reduce the amount of administration time spent while gaining greater control over projects?

The numbers

We have used the data from Capsa to determine how design information is divided between design disciplines. To be clear, this data does not judge the quality or importance of the information; it’s very much a case of quantity over quality.

55.7%

Architects

14.4%

Engineers

7.9%

Services

4.9%

Landscaping

17.10%

Contractors

100%

Total

In reviewing the above percentages, you should note:

  • This data has also been taken from projects categorised as domestic on Capsa.
  • All figures have been rounded.
  • Interior design information is included in the architects %.
  • The vast majority of contractors’ design is made up of bespoke joinery or steelwork information. If you remove these elements, the overall % drops dramatically.

Saving time

Based on the information stored on Capsa, we can determine the administration time spent by architects uploading and sharing. We can also estimate, based on the number of documents, the estimate administration time spent by architects not using Capsa, where documents are now commonly emailed and document registers created.

Time saved

The above time saving per project is purely for architects. If you add the entire consultant team, the time saved will increase. For architectural practices, this is a meaningful saving for each project, as it means more time to spend on work that generates fee income.

How can Capsa help architects?

We have already covered the time and fee-saving opportunity Capsa affords, but that’s not all Capsa can offer:

  • Enhanced version control: Don’t run the risk of archive folders or missing revisions. In Capsa, all revisions to a document are stacked, so the history of each document is in one place. Have certainty the team are using the latest version.
  • Centralised access: No more excuses about not having the latest information. All team members have access to the same information.
  • Improved project visibility: Track document and user history, giving you full access to who has been notified, viewed or downloaded your documents.
  • Reduced reporting and scheduling: Automate your document registers.
  • Smart tagging: Use our tagging feature to group and search for documents more intelligently.
  • Automate your workflow: Collaborate with your team more efficiently by automating document sharing and notifications.
  • Reduce paper: Reduce the amount of printing required; all documents are issued via Capsa and can be viewed using the Capsa App to reduce the need for printing.
  • Easy upload: Use the intelligent upload feature to upload multiple documents, and let Capsa populate the data for you. You can also add revisions without re-entering document data.
  • Enhanced search capability: Search and filter all documents by any data field or tag.
  • Remote access: Access to the information 24/7 using the Capsa Portal or App.

The twist

All of these benefits are likely to cost you nothing.

While anyone on the project team can sign up for Capsa, the majority of Capsa projects are paid directly by the Client or Contractor. So, all of these benefits come at no cost to you. All you have to do is recommend Capsa to the project team, and you’ll be away.
