Capsa saves time and money for our customers

An exploration into the numbers and savings behind the Capsa Project Plan.

For the data geeks out there, of which we count ourselves, we examined the data on our projects last year to establish the average Capsa Project Plan usage and the estimated savings our customers achieved by using Capsa.

With an average estimated savings of £6,034 per project, it’s time to choose Capsa for your next project.

As the Capsa founders know from running their own building company, no two projects are the same. However, using the data from our 2024 projects, we can establish what the “average” Capsa project looks like.

We explored the values of our projects and extracted the headlines of interest.

People

The majority of organisations and users on Capsa are view-only participants. Fewer than 25% of organisations are the authors of documents uploaded to Capsa.

It’s also worth noting that the number of project users does not equal the number of individuals working on the project, as not all parties will be granted access to the documents. Whether they should be is a topic for another article.

The vast majority, over 95% of documents uploaded to Capsa, are PDF files, the remaining 5% are JPG’s or a form of CAD file. This is measured by the quantity of files, not the file size.

There are an average of 5 revisions to a document. The project data usage is less than 1 gb, however, if you exclude the smallest 5% of projects on Capsa, this figure jumps to 1.8 gb.

Capsa is used on a wide variety of projects; going by the number of projects on the system, a form of domestic project, whether that’s a new build, refurbishment, or conversion, is the most common type of project. However, it’s a close call between commercial and domestic by project value.

Our system captures data when a document is opened or downloaded. However, we don’t record the data associated with a user’s view of a document in preview mode. Thus, the number of document previews would be significantly higher than the averages below.

To determine the time saved, we have worked with our customers to estimate the administration time spent on projects that don’t use a document management software solution.

In practice, the time saved across the project team would be greater, as our estimates do not account for the wider team, who may view and share documents but are not regarded as the primary project administrator.

When you dig deeper into the users’ usage habits, you can see that the vast majority of the activity centres around less than 20% of the current documents. Perhaps unsurprisingly, the key documents tend to be general arrangement plans. This really emphasises the need for the authors of these documents to ensure they are well considered and drafted.

Worryingly, the specification and report documents tend to be some of the less-trafficked documents. We intend to explore this topic in greater detail another time, but we suspect it is related to their being less user-friendly and overpopulated with generic material.
